Large Catering Kitchen and Cafe Area for Hire

We proudly offer a wide range of services to meet your dining and catering needs. Our cafe offers customers a pleasant atmosphere to meet up for a light snack, lunch, hot and cold drinks (Tuesday and Wednesdays). Free wifi and Sky News to keep you up to date. Just ask at the office for details.

If you need to hold a meeting for 14, entertain 60 to 120 guests for parties, wedding receptions, or host a conference, or even deliver a show to an audience, we can provide space for them all. We have rooms for hire, by the hour, for therapists, counsellors, and life coaches. DURING COVID only Large Hall and a section of Small Hall available to hire (30 people in Large Hall and 6 people in Small Hall)

Terms and Conditions for Hiring Saxon Hall 2020 during COVID-19 Pandemic (updated 01-10-2020)

Currently, we are unable to accommodate any large gatherings which include children’s party (no bouncy castles, music or disco’s), wedding parties and events with over 30 people due to the current COVID Secure guidelines set out by the Government and Herefordshire Council. The large hall is available to hire at a reduced capacity of 25-30 people only and the small hall at a reduced capacity of 6 people only. ½ day or full day booking only due to the cleaning regime required during the pandemic. David Griffiths Manager 

50% deposit is required on booking, with the remainder paid in full two weeks prior to the event to secure your booking. The deposit is non-refundable.

Terms and conditions when hiring Saxon Hall

  1. The hirer named on the form is responsible for compliance of all terms and conditions.

  2. The hirer is responsible for all people entering their area of hire during the period of hire and must take steps to ensure unauthorised persons do not enter the premises during the hire period (recommended use of a pre-booking place system such as Eventbrite). The cost of any damage caused during the hire period will be payable by the hirer.

  3. The hirer must complete risk assessment documentation and have public liability insurance for their own group before hiring can be approved by the trustees and management.

  4. Hirers using the centre for instruction- e.g.: coaching must hold appropriate qualifications and have valid public liability insurance which indemnifies Putson Community Association against any claims, demands, action or proceedings in respect of death or injury to any persons, or damage, loss of property belonging to any person, which occurs as a result of the negligence of those using the premises. Copies of qualifications, public liability insurance and DBS Certificate must be provided with the booking form.

  5. Electrical equipment used must meet with safety standards and have up to date proof of PAT testing.

  6. Face Covering is always required while within the building unless medically exempt or while undertaking exercise or activity that would negatively impact your ability to do so.

  7. NHS Test and Trace: Hirer takes responsibility for pre-booking of clients or users within their group onto NHS Test and Trace as this is now a mandatory requirement under the law from 24th September 2020, QR codes and forms are in the reception area, Please also note anyone feeling or notably ill will not be permitted to enter the building.

  8. Hand sanitiser is available at the entrance to the building and hand washing facilities available in the toilets with disposable hand towels with closed top bins provided, please make sure these areas are kept tidy to comply with COVID security.

  9. Toilets have restricted access to one or two at a time, please follow signage guidelines.

  10. A one-way system is in operation; thus, the exit is provided through fire doors in the large hall, no other room hiring is available during this time and in the event of emergency e.g. fire - the one-way system will be suspended.

  11. No more than 30 people are allowed in the large hall, not including any instructors or persons in charge of groups and 1+ metre social distancing must apply.

  12. Kitchen is not to used and no entry during hires, please talk to the manager for an arrangement otherwise.

  13. Bicycles, Didi cars, roller blades or skateboards are NOT allowed in the building at any time.

  14. No animals are permitted in the building unless the animal is an assistance dog or unless specific permission has previously been granted.

  15. The use of smoke machines, foam or bubble machines are not permitted for fire regulations and health and safety reasons.

  16. No DVD’s, live television, or the playing of instruments inside the building.  

  17. The hirer must ensure all doors; access ways and fire exits are not obstructed and open for ventilation.

  18. All facilities used are to be left in a clean and tidy state at the end of the hire period, wet mops must never be used on the Wooden Floor

  19. All rubbish must be taken away off-site or disposed of in an appropriate bin.

  20. All tables, chairs must be cleaned down with appropriate anti-bacterial cleaner after use and must be put away in the appropriate areas at the end of the hire period.

  21. The hirer has the responsibility of making sure room and kitchen are left clean, tidy, washed and put away as Saxon Hall does not have the staff to do this.

  22. The building is to be used only for the purpose identified in the booking form.

  23. Saxon Hall staff and trustees have the right to access the hire area in the case of an emergency.

  24. The hirer must ensure that no disorderly behaviour, noise or breaches of law takes place to the annoyance of residents.

  25. Hirers must make themselves aware of COVID secure regulations, fire exit locations, fire extinguishers, accident book, first aid kit and defibrillator. Fire assembly point is displayed at the main entrance to Saxon Hall.

  26. Saxon Hall accepts no responsibility for loss of personal belongings. Any property left on the premises will be held for 21 days, if not collected within that time it will be disposed of.

  27. The use of blue tack, drawing pins or any kind of sticky tape used on walls, doors or windows is not permitted.

  28. Hirers must not leave or store any items on the premises without the prior consent from the management or trustees.

  29. Disposable cleaning cloths and disposable hand towels are provided but tea towels are not provided for reasons of COVID hygiene.

  30. All users' food items are to be removed at the end of the hire period.

  31. All breakages and damage to the building including equipment and furniture must be reported to the Centre Manager. The hirer will be responsible for compensating for any cost incurred.

  32. The hirer must assume responsibility for ensuring that no person under the age of eighteen consumes alcohol on the premises. Any alcohol served on the premises must comply with licensing law. Alcohol can only be sold with a valid TENs license from Herefordshire Council.

  33. The building is a no smoking building and the hirer must ensure adherence to the law, please note: no smoking at the front entrance to the building and cigarette end bin is provided on the left side of the entrance of the building.

  34. Sub-letting of any part of the premises to others is not permitted.

  35. Cancellation:  If a booking is cancelled with less than seven clear days’ notice then the full hire fee will be payable. PLEASE NOTE: Due to COVID we would require immediate notice of cancellation due to symptoms or positive test of COVID 19, Even if last-minute and management have right to waive any fee is this is the case.

  36. Closure due to Local or National lockdown due to COVID 19: Saxon Hall is a COVID Secure building and in the event of Local or National lockdown, Putson Community Association Trustees and management would make the decision as governed by Government or Local Council to close at short notice. All Long-Term Hirers would be notified at the same time by email and at short notice by their supplied telephone number.
